Web3Software B.V. ("Web3Software", "we", "us", or "our") respects your privacy and is committed to protecting the personal data we collect and process. This Privacy Policy explains what data we collect, why we collect it, how we use and share it, and the rights you have under the EU General Data Protection Regulation (GDPR) and other applicable laws. It applies to our website at web3software.co and to the services we provide to clients.
1. Who we are

2. The data we collect
We collect personal data that you provide directly and data generated automatically when you use our website. This includes:
- Contact and enquiry data — your name, company, email address, phone number, country, and the details of the project you describe when you submit a contact, consultation, or quote request.
- Usage and device data — IP address, browser and device type, referring URL, the pages you visit, and the date and time of your visit.
- Marketing data — UTM and campaign parameters, and your email address if you subscribe to our updates.
- Client engagement data — information exchanged during the delivery of services, governed additionally by the contract between us.
3. How we use your data and our legal basis
We process personal data only where we have a lawful basis to do so:
- To respond to your enquiries and provide quotes or proposals — on the basis of taking steps at your request prior to entering a contract.
- To deliver and administer our services — on the basis of performance of a contract.
- To send marketing communications you have requested — on the basis of your consent, which you may withdraw at any time.
- To secure our website, prevent abuse, and improve our services — on the basis of our legitimate interests, balanced against your rights.
- To comply with legal, accounting, and regulatory obligations — on the basis of legal obligation.
4. How we share your data
We do not sell your personal data. We share it only with trusted processors who act on our instructions — including cloud hosting, email delivery, analytics, and customer-relationship providers — and with professional advisers or authorities where we are legally required to do so. Where a processor is located outside the European Economic Area, we rely on adequacy decisions or Standard Contractual Clauses to protect your data.
5. How long we keep your data
We retain personal data only for as long as necessary for the purposes set out above. Enquiry data is typically retained for up to 24 months after our last contact; client engagement records are retained for the duration of the engagement and for the period required by applicable tax and contractual obligations; and marketing data is retained until you unsubscribe.
6. Your rights
Under the GDPR you have the right to access, rectify, erase, restrict, and port your personal data, to object to processing based on legitimate interests or direct marketing, and to withdraw consent at any time. To exercise any of these rights, contact us at privacy@web3software.co. You also have the right to lodge a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens) or your local supervisory authority.
7. Security
We apply appropriate technical and organisational measures to protect personal data against unauthorised access, loss, or disclosure, including encryption in transit, access controls, and regular review of our security practices. No system is perfectly secure, but we treat the protection of your data with the same rigour we apply to the systems we build for clients.

We may update this Privacy Policy from time to time. We will post any changes on this page and update the "Last updated" date above. Material changes will be communicated where appropriate.
